Use a shared entrance deliberately
Where residents, visitors and trades use the same approach, explain the available delivery window and the space that must remain open. Give the rental contact the working entrance, not merely the management office address. Identify the person authorised to approve placement on arrival.
Make repeat visits possible at an occupied property
Agree how cleaning vehicles will gain access without relying on a resident unexpectedly being present. Update the rental team if gates, parking or work hours change. Keep collection in the handover plan, particularly if the contractor finishes before the property manager can receive the final visit.
Use one handover for delivery, service and removal
A delivery plan should remain usable after the first visit. Record the authorised gate, placement contact and any time restrictions with the rental team. If new fencing or material storage changes access, discuss a revised arrangement before the next visit. Moving equipment yourself can introduce a different safety and access problem.
When the site layout changes
- Tell the rental contact what changed and when it takes effect.
- Ask whether the proposed position and servicing route remain suitable.
- Confirm the receiving person and access instructions again before collection.
Keep the route available
The service vehicle needs practical access throughout the job, not just on delivery day. Review the position when fencing, parking or materials move. Ask the rental team before relocating a unit.
