Coordinate suppliers on one layout
Restrooms, catering, tents and parking should be considered together. Mark the service entrance and the space rental vehicles need after the other suppliers have arrived. A position that appears convenient on an empty property can become difficult to reach once the reception is set.
Give the clear-up team a usable finish time
Specify the last time people will need the facilities, not just when guests leave. Confirm who can provide collection access and any venue clearance deadline. Share a changed schedule with the rental contact before relying on a different pickup or an extended period of use.
Put restroom access on the supplier timetable
Use the same site layout for restroom placement, catering, tents and parking. A trailer or cabin that fits on an empty property may become difficult to reach once the event is installed. Have the coordinator review arrival order and preserve the route needed for any agreed service visit and final collection.
Three times to write down
- When the property can first receive rental vehicles.
- When facilities must be ready for setup staff and then guests.
- When use ends and how the collection team will gain access.
Coordinate with the venue
Review placement, vehicle entry, accessible routes and any site-specific permissions with the responsible organiser. Confirm utilities for the proposed trailer or washing arrangement rather than assuming connections will be available.
